Terms of Service

These terms govern your use of the Ola Accountancy platform (the "Service"), provided by Ola Accountancy Ltd ("we", "us", "our"). By creating an account or using the Service, you agree to these terms. If you do not agree, please do not use the Service.
The specific accountancy services we provide are governed by your separate engagement letter, which takes precedence in the event of any conflict with these terms.
1. The Service
The Service is an online platform that helps prepare, review and submit UK Self Assessment tax returns and Making Tax Digital quarterly reports. Staff accountants use it to manage client cases; clients use a secure portal to provide information, upload documents, and approve returns before submission to HMRC.
The Service supports our professional accountancy work - it is a tool, not a substitute for professional advice.
2. Accounts and eligibility
- You must be 18 or over to use the Service. Accounts are created by invitation from your accountant or by self-registration on this site.
- You must provide accurate, current information and keep it up to date.
- You are responsible for keeping your password confidential and for all activity under your account. Notify us immediately at support@ola-accountancy.co.uk if you suspect unauthorised access.
- We protect accounts with hashed passwords, automatic lockout after repeated failed login attempts, and automatic session expiry.
- We may suspend or deactivate an account to protect the Service, our users, or where required by law.
3. Your responsibilities
- You must provide complete and accurate information. The accuracy of any tax return depends on the information you supply.
- You remain legally responsible for your tax return. Nothing is submitted to HMRC until you have reviewed and approved it through the portal.
- Where you complete the HMRC authorisation step, you authorise us to act as your tax agent with HMRC for the purpose of preparing and filing your Self Assessment.
- You must not misuse the Service - including attempting to access other users' data, disrupting the platform, uploading malicious content, or using it for any unlawful purpose.
4. Fees and payment
Our current fees (all amounts include VAT) are:
- Self Assessment tax return - £90 (£75 plus VAT)
- Making Tax Digital quarterly report - £60 (£50 plus VAT) per quarter
- Annual package (four quarterly reports + annual return) - £300 (£250 plus VAT)
Different fees may be agreed in writing in your engagement letter. Payments are processed securely by Stripe; card details never touch our systems.
If you are a consumer, you have a statutory 14-day right to cancel under the Consumer Contracts Regulations 2013. If you ask us to begin work within that period, you may be charged for the work carried out up to the point of cancellation. Otherwise, fees are non-refundable once work has commenced, except where the law requires.
5. HMRC submissions
Submissions to HMRC are made on your instruction after your explicit approval through the portal. HMRC sets the filing and payment deadlines (for 2025–26 returns, the online filing and balancing-payment deadline is 31 January 2027). You are responsible for meeting your own deadlines; we will use reasonable care to submit approved returns promptly.
6. Data protection
We process personal data in accordance with the UK GDPR and as described in our Privacy Notice. We use only strictly necessary cookies, as described in our Cookie Policy. All personal data is stored in the United Kingdom, encrypted at rest and in transit.
7. HMRC fraud prevention
When the Service connects to HMRC APIs on your behalf, we transmit technical information required by HMRC's fraud prevention specification. This includes device identifiers, IP addresses, browser details and timestamps. This data is required by law and is described in our Privacy Notice.
8. Availability
We aim to keep the Service available but do not guarantee uninterrupted access. The Service may be temporarily unavailable for maintenance, updates, or reasons beyond our control. We are not liable for losses arising from temporary unavailability, or for any failure or delay caused by events beyond our reasonable control (force majeure).
9. Intellectual property
The Service, its design, software and content are owned by Ola Accountancy Ltd or our licensors. You are granted a limited, non-exclusive, non-transferable right to use the Service for its intended purpose. Your own data remains yours.
10. Limitation of liability
Nothing in these terms excludes or limits liability that cannot be excluded by law, including for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
Subject to that, our total liability arising from your use of the Service is limited to the fees you have paid us in the 12 months preceding the event giving rise to the claim. We are not liable for indirect, incidental or consequential losses. Professional liability relating to our accountancy work is governed by your engagement letter.
11. Termination
You may stop using the Service at any time. We may suspend or terminate your access if you breach these terms. On termination, we retain records as required by HMRC record-keeping rules and our Privacy Notice (generally six years after the end of the relevant tax year).
12. Changes to these terms
We may update these terms from time to time. Material changes will be notified through the Service or by email, and the "Last updated" date above will change. Continued use of the Service after changes take effect constitutes acceptance of the updated terms.
13. Third-party rights
A person who is not a party to these terms has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of them.
14. Governing law and jurisdiction
These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from or in connection with these terms. If you are a consumer habitually resident in another part of the United Kingdom, you may also bring proceedings in your local courts.
